Feature · Transfer Certificates
Transfer certificates that fill themselves from the student record
Transfer certificate software generates a school's TC from the record it already holds — the student's details, their conduct, their attendance and their dates, without any of it being copied out by hand. Edoovi runs the struck-off flow alongside it and keeps every TC the school has issued.
- Conduct and attendance already on it
- Struck off, not deleted
- Every TC the school has issued
- In every plan, from Stepper
Why it hurts when it hurts
Almost every TC a school writes is written in the same two weeks
The academic year ends in March, so families move in March. That is also when results go out, when next year’s admissions arrive and when the fee year closes — and it is the same front office doing all four.
- Results and report cards The exam side closes at the same time.
- Next year’s admissions New enquiries arrive while old files leave.
- The fee year closing Dues have to be settled before a TC goes out.
A certificate copied out by hand is slowest in exactly the fortnight the office has least time to give it.
Where each line comes from
Nine of the thirteen lines are already in the system
A transfer certificate is mostly facts the school wrote down years ago — the admission date, the parents’ names, the class, the attendance. Only the last few lines are a decision somebody has to make today.
- The student record Already stored — the eight-tab profile
- The attendance register Already counted — the same register the class marks
- What only the school can say Typed once, when the certificate is issued
Sample values, not a real student. Your certificate carries your school’s own format and fields.
A transfer certificate with thirteen lines. Seven are filled from the stored student record: name, father's name, mother's name, date of birth, admission number, date of admission and the class last studied. Two are filled from the attendance register: working days and days present. The remaining four are stated by the school when the certificate is issued: conduct, date of leaving, reason for leaving, and the class the student is promoted to.
The word that worries people
Struck off means off the roll, not out of the system
A child leaving changes one thing: whether they are counted in today’s class. It does not change what the school already knows about them, and it should not — somebody will ask about an old receipt or an old certificate, and the answer has to still be there.
Unchanged either way
- The fee history What was paid, and when. A question about an old receipt still has an answer.
- The attendance record The register does not lose a term because the child left in the next one.
- The TC that was issued Exactly what the school certified, retrievable years later.
An illustration of the struck-off flow. A student moves from the on-roll list to the struck-off list, and the panel beside it shows what is unchanged by the move: the fee history, the attendance record and the transfer certificate that was issued. Sample names, not real students.
The format
What a transfer certificate has to say
This is the standard content of an Indian school TC, whichever board you are on. It is worth reading against the file your office is currently printing from — a certificate that comes back for a missing line costs a family another trip.
-
The school Printed the same on every certificate you issue.
- School name and full address
- Affiliation line
- Book number
- TC serial number
-
The student The identity the receiving school will check against.
- Name of student
- Father’s name
- Mother’s name
- Date of birth, in figures and in words
- Nationality
- Category or religion, where the format asks
-
The years here When they arrived, what they studied, when they left.
- Admission number
- Date of first admission and class admitted to
- Class last studied
- Subjects studied
- Date of leaving
-
The record and the sign-off The part the next school actually reads.
- Working days and days present
- Conduct
- Whether qualified for promotion, and to which class
- Reason for leaving
- Fees paid up to
- Date of issue and signatures
Formats differ by board and by state, and Edoovi is configured to your school’s — which is why the honest answer to “will it match ours” is to put your current TC in front of us rather than describe one.
Three years later
Every certificate the school has issued, still findable
Somebody will ask. A family loses their copy, a college wants confirmation, or a receiving school queries a line. The question is only ever whether the school can put its hand on what it certified — and a filing cabinet answers that badly.
- Search by the child’s name, not by the year you think it was
- The certificate as it was issued, with its own serial number
- Kept whether or not the student is still on the roll
Sample records, not a real school’s archive.
An illustration of the TC archive: a search field is typed into and the list of issued certificates narrows to the matching student, each row showing the class, the certificate number and the date it was issued.
Before you assume it
Four things this does not do
A TC is a legal document, so it is worth being exact about where the software stops. These are the four a school could fairly assume are included. None of them are.
- Board portals Edoovi generates the certificate. Uploading or submitting anything to a board portal is still your office’s job, on the board’s own system.
- Signatures A TC is signed and stamped by the people authorised to sign it. Nothing here replaces that, and nothing here should.
- Who gets one Whether a certificate is issued, and on what conditions, is the school’s decision and the school’s policy. The software records the decision; it does not make it.
- Legal formats Formats are configured to your school, so bring your current TC. We will not tell you a format is board-compliant — that is between your school and your board.
TC questions
What schools ask about transfer certificates
What is transfer certificate software?
It is the part of a school ERP that produces a TC from the student record the school already keeps, rather than from a register somebody writes out by hand. The student's details, conduct, attendance and dates are already stored, so generating the certificate is a lookup rather than an afternoon of copying.
What does Edoovi fill in on a TC automatically?
The student details held on the record, and the conduct and attendance the certificate has to carry. Those are the parts a school otherwise copies out of three different registers, and they are the parts that get transcribed wrong when a parent is waiting at the counter.
What does "struck off" mean, and does it delete the student?
No. Struck off is the flow that records a student as no longer on the roll while keeping everything about them. The record stays, the past fee and attendance history stays, and the TC that was issued stays in the archive — a child leaving is a status, not a deletion.
Can we find a TC we issued three years ago?
Yes, that is what the archive is for. Every TC the school has generated stays retrievable, so a parent who has lost their copy or a school that needs to confirm what it issued does not depend on somebody finding the right file.
Will the certificate match our board's format?
The academic structure and certificate formats in Edoovi are configured per school, which is how the same system serves CBSE, ICSE and State Board institutions. Bring your school's current TC to the demo and we will set it against your actual format rather than describe one.
Which plan includes TC management?
TC Management is on Stepper — the entry plan — alongside student management, fees, attendance and communication. A school does not have to move up a tier to stop writing transfer certificates by hand.

The printed one, or the file your office prints from. We will set it against your own fields on the call, because “will it match our format” is not a question anyone should answer from a brochure.
