Admission enquiries that land somewhere they get followed up
School admission management software records each enquiry with the source it came from, moves it through a visible pipeline, and turns it into an admission without anybody re-typing the details. Edoovi keeps the whole season on one board, so no enquiry ends its life in somebody's notebook.
- In every plan, from Stepper
An illustration of an admission enquiry board with four stages — new enquiry, following up, form submitted and admitted — each enquiry card tagged with the source it arrived from. The figures are an example, not a school's real numbers.
The season problem
Four ways in. Four places they stop.
An enquiry is not lost because somebody decided to ignore it. It is lost because it was written down somewhere nobody opens on the day it needed a call back.
- The pad at the front desk
- Whoever picked up
- An inbox somebody checks
- A corridor conversation
The list nobody has
Nobody owns the total. Because the pad, the inbox and the corridor are never compared, an enquiry that stopped replying looks exactly like one that was never made.
The pipeline
Move one through it
An enquiry is always in exactly one stage, and it moves because somebody decides it should — not because it was quietly forgotten. Advance the card.
01 / 04
Captured
The enquiry is recorded once, with the source it arrived from attached to it — walk-in, phone, website or referral.
02 / 04
Following up
Follow-ups are logged against the enquiry, and a message can go to everyone still sitting at this stage from a reusable template.
03 / 04
Applied
The family has committed to a form. What was captured at enquiry carries forward instead of being asked for a second time.
04 / 04
Admitted
The enquiry becomes a student record. Nothing is re-typed, and every other feature can read from it.
On screen
This is the board your front office works from
No separate tool to learn and nothing to reconcile on a Friday. The enquiry list is a screen in the same system the fees and the register already live in.
- Every stage on one screen The whole season in four columns, not four separate lists.
- Move an enquiry as you decide A stage change is an action somebody takes, and it is logged as one.
- The source rides along Where the enquiry came from stays attached all the way to admission.
The conversion
An admission is the enquiry, promoted
Not a new record typed out from the old one. The enquiry already holds most of what a student record needs, so converting it carries the fields across rather than asking a family to repeat themselves.
Enquiry
- Student name
- Parent details
- Contact number
- Previous school
- Class applied for
- Enquiry source
-
A second round of typingThe details were already given once, at enquiry. -
A spelling that driftsA name typed twice is a name spelled two ways. -
A lost sourceWhere the admission came from survives the conversion.
What it becomes
Eight tabs, and every other feature reads from them
The admission does not end in a row on a list. It ends in the student record — the single profile the fees, the register, the marksheet and the transfer certificate all draw on.
Admission
Admission number, date, class admitted to and the enquiry it came from.
Basic
Name, date of birth, gender, category and the details every certificate draws on.
Parent
Father and mother details, occupations and the numbers messages actually go to.
Previous school
Where the student came from, and what the transfer certificate said.
Health
Blood group and medical notes the infirmary needs on the day it needs them.
Guardian
Who may collect the child, when that is not a parent.
Class X details
Board registration details, for the students it applies to.
Settings
Per-student switches — transport, hostel and the rest of the flags.
The knock-on
One admission, and five features have a new student
None of this is a second data-entry job. They are all reading the same record the admission created.
The student record
Created once, at admission
- FeesThe class fee heads apply, and the ledger starts.
- AttendanceA position in the register, from the first day they arrive.
- The parent appA login for the family, reading the same record the office does.
- ID cardsGenerated from the record, not typed into a separate template.
- TransportA stop and a route, if the family takes the bus.
Where they came from
Next season's budget becomes an answer, not an argument
Because the source is captured on the enquiry as it arrives — not reconstructed in June from memory — the question of which hoarding, referral or campaign actually produced admissions has a record standing behind it.
Your own numbers, from your own enquiries. Edoovi publishes no benchmark conversion rates, because a figure from somebody else's school would tell you nothing about yours.
An illustration of enquiries being sorted into six source categories: walk-in, phone, website form, referral, hoarding and campaign. No quantities are shown.
Admission questions
Asked in every admission season
What is school admission management software?
It is the part of a school system that holds every enquiry from the moment it arrives — walk-in, phone call or form — records where it came from, tracks the follow-ups against it, and converts the ones that say yes into full student records without the details being typed a second time.
How does it stop an enquiry being forgotten?
Because the enquiry is on a shared board rather than in one person's notebook. Every enquiry sits in a stage with its source and its history attached, so an enquiry that has gone quiet is visible as a thing that has gone quiet rather than as an absence nobody notices.
Does an admission have to be entered again after the enquiry?
No. Converting an enquiry carries its details straight into the student record — that is the point of keeping the enquiry in the system rather than on paper. Nothing is re-typed, so nothing gets mistyped on the second pass either.
Can we see which enquiry sources are worth the money?
Yes, because the source is captured on the enquiry itself rather than remembered afterwards. Once every enquiry carries where it came from, the question of which hoarding, referral or campaign is actually producing admissions stops being a matter of opinion.
Can we message enquiries that have not converted yet?
Yes. Enquiry messaging is one of the routes in the communication feature, sent from reusable templates, so a follow-up to everyone still sitting at a stage does not have to be written out each time.
What does the student record hold once an enquiry is admitted?
An eight-tab profile: admission details, basic details, parent details, previous school, health, guardian, class X details and settings. It is the record every other feature then reads from — fees, attendance, exams, transport and the transfer certificate all hang off it.
