The staff file that is not in a drawer
School staff management software keeps one employee record per person — their details, which classes and subjects they take, their leave and their own attendance. Edoovi reads that record from the timetable generator, the register and the reports, so a teacher is set up once rather than in four places.
- On the Elevator plan
An illustration of one staff record: a teacher who is class teacher of VI-A, teaches science to classes VI and VII, has their own attendance marked by face, and has taken four days of leave. Not a real person.
Why this exists
Four questions a school cannot answer quickly
Staff records look fine right up until somebody needs one in a hurry. These four get asked constantly, and each one is a walk to a cupboard or a phone call to whoever happens to remember.
- Who takes VII-B for science? The timetable is on a wall and the person who made it is on leave.
- How many days has she taken? Counted by hand off a register, if the register is findable.
- Is he a class teacher this session? Depends which list you look at, and when it was last updated.
- Who can cover period 4? Nobody knows without reading every section’s grid at once.
All four are the same question underneath: is there one record for this person, or four half-records in four places.
One record
Three things a school keeps about a teacher
Grouped by who actually needs them. The office asks the first set, the timetable generator reads the second, and the register writes the third — all against the same person.
-
The person
- Employee details
- Role in the school
- Active or struck off
-
What they teach
- Subjects
- Sections
- Class-teacher assignment
-
Their own week
- Attendance, marked by face
- Leave applications
- Absence record
Salary processing is not part of this feature. If payroll is what your school needs, ask us directly — we would rather tell you before you buy than after.
The load-bearing bit
Who takes what, written down once
Class-teacher mapping looks like admin. It is actually the thing three other features stand on — and the reason a timetable can be generated at all.
Before first period
Knowing early is the whole of it
A teacher being absent is not a problem. A teacher being absent and nobody realising until a class is standing outside a locked room is. Because the staff register and the mapping are the same system, the gap and the periods it affects are both known before the bell.
Edoovi does not arrange cover for you — that is a decision a person makes. What it removes is the twenty minutes spent finding out there is one to make.
Once it is approved
An approval that writes itself down
A leave form that gets signed and then filed has not actually done anything. The point of the application living on the same system as the register is what happens the moment somebody approves it.
-
The staff register
The day is recorded as leave, not as an unexplained absence.
-
The absence report
The running count is already right, so nobody adds it up in March.
-
The day itself
The periods that person takes are known to be uncovered.
Staff sits in the general reports
Staff and enquiry reports make up the general group — five of the 73 built-in reports. Like the rest they filter and export, so an absence count or a staff list comes out of the system rather than being typed up.
Also somebody’s data
A teacher’s record is not the staff room notice board
Schools think carefully about who can open a child’s record and almost never about who can open a teacher’s. It is the same question, and role-based access answers it the same way.
- A class teacher Their own record and their own classes. Not another teacher's leave.
- The front office What the office needs to run the day, not the whole personnel file.
- Management The staff picture, because somebody has to have it.
Staff questions
What a school asks about staff records
What does the staff record hold?
Employee details, which classes and subjects that person takes, their leave applications and their own attendance. It is one record per staff member, read by the timetable generator, the register and the staff reports rather than copied into each of them.
Does Edoovi process salaries?
What is documented is staff records, class-teacher mapping, leave and attendance — not salary processing, payslips or statutory deductions. If payroll is what your school needs, ask us directly rather than assuming it is included, because we would rather tell you before you buy than after.
What is class-teacher mapping, and why does it matter?
It is the record of which teacher takes which subject for which section. The timetable generator reads it to build the week and to catch clashes, and the register reads it to decide whose classes a teacher can mark. Getting it right once is what makes both of those work.
How does a teacher apply for leave?
On the same system their attendance is marked on, rather than on a form in a drawer in the office. The application reaches whoever approves it, and once approved it joins the staff attendance record — which is what the absence reporting is built from.
Can we see who was absent, and how often?
Yes. Staff attendance and absence reporting are part of the same feature, so the question of how many days somebody has taken is a report rather than a count somebody does by hand at the end of a term.
Which plan includes staff management?
Staff management is on the Elevator plan, alongside exam master, timetable and admission enquiry. The roles themselves — front office, library, transport, security and the rest — are set up during onboarding.

Your teachers, the subjects they take and the sections they are class teacher of. That mapping is the thing the timetable and the register both stand on.
