The school's books, in one income and expense ledger

School accounting software keeps the books on the same system as the fees and the records — income and expense heads, the bank accounts money moves through, cheques tracked from receipt to clearing, and GST settings where they apply, all rolling up into one combined income and expense ledger.

  • On the same system as your fees

The combined ledger

Income and expense down one list

Money in and money out run down the same ledger, and the balance moves with every entry — so the figure at the bottom is what the school actually has today, not a total someone adds up at the end of the month from two separate books.

  • One running balance, always current
  • Every entry under its own head

Heads

Every rupee filed under a head

Income goes under income heads and expense under expense heads, so the ledger is not a flat list of numbers — it can say where the money came from and where it went. Your school sets its own; these are only an example.

Income heads

  • Fees
  • Grants
  • Donations
  • Rent received
  • Miscellaneous

Expense heads

  • Salaries
  • Utilities
  • Maintenance
  • Books & stationery
  • Transport

Cheque tracking

A cheque is not money until it clears

A cheque in the drawer is a promise, not a balance. Tracking it from received to deposited to cleared means the books count what has actually reached the bank — and a cheque that bounces is caught, not quietly left in the total.

  • Followed from receipt to clearing
  • Cleared and pending kept apart
  1. Received
  2. Deposited
  3. Cleared

An illustration of cheque tracking: a cheque for twenty-five thousand rupees moves from received, to deposited at the bank, to cleared into the account — so the books count only what has actually cleared. Sample cheque, no real account.

Bank & GST

The accounts the money moves through, and the tax on it

More than one bank account, each with its own balance, and GST recorded on the heads where it applies — so the books match the bank, and the tax is on the right line.

Bank accounts

  • Current A/c Bank of India · 004312 ₹3,90,100
  • Savings A/c State Bank · 771905 ₹1,20,000

Recorded, not filed — returns stay on the GST portal.

Before you assume it

Four things this does not do

“Accounting software” means very different things to different schools, so it is worth being exact. These are four you might expect. None of them are here.

  • Run payroll The books hold income and expense, the bank and the cheques — not salary processing, payslips or statutory deductions. If payroll is what you need, ask us directly rather than assuming it is here.
  • File your GST returns GST is recorded on the heads where it applies, so the tax is on the right line. Filing the return is still a job done on the government’s GST portal, not from inside Edoovi.
  • Replace a full accounting suite This keeps a school’s books — income, expense, bank and cheques — not a chartered accountant’s full ledger. It is not a Tally replacement, and there is no Tally integration here.
  • Audit or sign off the books It records what happened accurately; it does not audit the accounts or certify them. That remains the work of the people qualified to do it.

Accounting questions

What schools ask about accounting

What is school accounting software?

It is where a school keeps its books — income under its heads, expenses under theirs, the bank accounts money moves through, and a combined ledger that shows the two together. It sits on the same system as the fees and the records, so the money the school collects and the money it spends are in one place.

How is this different from the fees module?

Fees is about collecting money from students — heads, concessions, receipts, the due-fee view. Accounting is the whole of the books: income from every source including fees, expenses of every kind, the bank and the cheques. Fees answers who has paid; accounting answers what the school earned and spent.

Can it track cheques?

Yes. A cheque is tracked from when it is received, through being deposited, to clearing or bouncing, so a cheque that has not cleared is not quietly counted as money in hand. It is the difference between a receipt written and a payment actually in the bank.

Does it handle GST?

There are GST settings on the heads where GST applies, so the tax is recorded against the right income or expense. It records GST as part of the books; it does not file your GST returns for you, which stays a job done on the government's own portal.

Does it run payroll?

What is documented is the school's income and expense books, the bank and cheque tracking — not salary processing, payslips or statutory deductions. If payroll is what you need, ask us directly rather than assuming it is here, so nobody finds out in the wrong month.

Which plan includes accounting?

Accounting is not listed as a separate module in a plan tier, so the honest answer for your school is one to confirm on the demo with your plan in front of us rather than to guess at here.
